The problem: a production worker has no work e-mail

Most employee tools assume everyone has a company e-mail and a system login. On a factory floor that assumption falls apart: the operator at the line has no mailbox, no computer and no real reason to set either up.

Any solution that starts with “sign in with your work e-mail” cuts off exactly the people it was meant to reach.

The solution

Signing in with a payroll number

The employee enters their eight-digit payroll number — the same one printed on their payslip — and receives a PIN. No work mailbox, no company-domain account, no IT department creating access one person at a time.

The app understands the plant's structure: content can be targeted at a specific HR area and subgroup, so a notice about one hall does not bury everyone else.

The result

500 Kaizen submissions in six months

In early 2026 we launched an improvement-suggestion module inside the app. Within the first six months employees filed over 500 Kaizen submissions — at a plant employing around three thousand people.

That number is worth comparing with the usual fate of a suggestion box by the gate. The difference is not that employees suddenly started having ideas. It is that filing one now takes a moment on their own phone, and the author can see what happens to it next.

Why people actually use it

The form already knows where you work. The app identifies the department and workshop from HR data, so the person filing does not hunt for their unit in a list — they confirm with one button that they are filing within their own department.

Submissions do not vanish. Every entry has a status, and a change triggers a notification that opens that specific submission — not a general list. Add a planned implementation date and comments, and the author knows whether their idea is alive.

Showing beats describing. Photos and videos can be attached — on a production floor a thirty-second clip explains a problem better than a page of text.

The workforce votes. Employees vote on submissions, so the running order does not depend solely on what catches a manager's eye.

Submissions from the previous system were migrated into the app, so the improvement history did not start from zero.

What else runs inside the app

A notice board with reactions and comments, the company newsletter, a knowledge base with attachments, surveys, work schedules and job openings pulled straight from the eRecruiter system — with no re-typing.

The app runs on cloud infrastructure with fully encrypted connections and centralised logging; the rollout produced a dedicated security report and a full set of documents: terms of use, GDPR notice and an admin panel manual.
